The Indiana Hearing Alliance (I.H.A.) is committed to protecting the privacy and confidentiality of our members' files, records, and personal data. This Privacy Policy outlines how we collect, use, disclose, and safeguard your information in accordance with the I.H.A. By-Laws and Standing Rules.
To manage association memberships , conference registrations, and certifications , the I.H.A. collects personal and professional information provided via official application forms , website submissions, and payment processes . This includes:
Names, business/post office addresses, email addresses, and phone numbers .
Licensure and registration details under the State of Indiana Hearing Aid Dealers Registration Act .
International Hearing Society (I.H.S.) certification numbers and statuses .
Your information is strictly utilized to conduct the legal and standard business operations of the Corporation , which include:
Verifying membership eligibility categories (Regular, Associate, Affiliate, Inactive, or Honorary) .
Maintaining the mandatory roster of members in good standing .
Issuing mandatory corporate notices, dues alerts, billing, and meeting announcements .
Budgeting and administrative review by authorized officers and the Board of Directors .
In strict adherence to Article XI, Section 2 of the I.H.A. By-Laws, all corporate files and records are strictly confidential .
Internal Access: Records are available only to the Board of Directors and individuals explicitly authorized by them in writing .
Public Roster: As mandated by Standing Rule 1, the names and addresses of members in good standing are printed annually and distributed to the general membership .
Official Correspondence: Members utilizing the official letterhead or claiming to represent the I.H.A. in an official capacity must have explicit written authorization from the President or a majority of the Board .
Disciplinary Proceedings: In the event of an actionable grievance investigation, the Grievance Committee may review necessary information and records pertinent to the validity of the complaint .
If you are submitting an application, registering an account, or providing personal data on behalf of another individual—such as a primary business owner submitting an application for an Affiliate Member (an employee of a Regular Member) —you represent and warrant that:
You have obtained explicit, lawful consent from that individual to provide their personal data, license verification, and professional details to the I.H.A. .
The individual understands how their data will be processed, stored confidentially by our resident agent , and distributed via the annual membership roster if applicable .
The I.H.A. utilizes trusted third-party software environments to effectively manage operations, process dues, and deliver member benefits .
Wild Apricot & Web Platforms: Our website and membership database are hosted through Wild Apricot. Your data is processed within their secure infrastructure to facilitate profile management, renewals, and community directories.
Payment Integration Systems: Financial transactions (including initiation fees, dues, and assessments) are securely handled through authorized third-party integrated payment gateways. The I.H.A. Treasurer maintains correct and complete financial accounting records , but full credit card numbers or raw financial credentials are not stored directly on our internal servers.
International Hearing Society (I.H.S.): As a chapter affiliate , the I.H.A. Secretary is required by Article V, Section 4(c) to submit an annual summary report of members and activities to the I.H.S., as well as notifications of amendments to our governing documents .
