Membership Cancellation Policy
Effective Date: May 22, 2026
Thank you for your membership with the Indiana Hearing Alliance (I.H.A.). This policy outlines the terms regarding voluntary membership cancellation, structural membership termination under our corporate By-Laws, and the non-refundable nature of association dues and fees.
1. Non-Refundability of Dues and Fees
All financial transactions related to I.H.A. memberships are final. The alliance does not issue full, partial, or prorated refunds for any of the following:

Annual Dues: Dues paid for Regular, Associate, Affiliate, or Inactive membership categories are non-refundable, regardless of when you cancel during the fiscal year.

Initiation Fees & Reinstatement Fees: The mandatory initiation fee submitted with new member applications and the $15 reinstatement fee required for lapsed memberships are entirely non-refundable.

Special Assessments: Emergency special assessments approved by the membership are non-refundable.
Inactive Reinstatement Exception
Per Article III, Section 1(e), if an Inactive Member reactivates their status to a Regular Member, their new active dues will be prorated from the date active status is granted by the Board of Directors until the end of the current fiscal year.
2. Voluntary Cancellation by Member
Members may choose to cancel their membership at any time through the Wild Apricot member portal or by submitting a written notice to the I.H.A. Secretary.

No Prorated Refunds: Upon voluntary cancellation, your membership privileges will remain active until the end of the current paid billing cycle. No prorated refunds will be issued for the remaining months of the fiscal calendar.

Non-Transferability: In accordance with Article III, Section 4, memberships in the Corporation are non-transferable and cannot be assigned or transferred to another individual or business entity.
3. Delinquency and Automatic Forfeiture
The I.H.A. operates on a strict calendar fiscal year (January 1 – December 31). To avoid automatic cancellation due to non-payment, members must adhere to the following timeline:

Due Date: Annual membership dues are payable on January 2, or before January 31.

Delinquency Notice: If dues remain unpaid by January 31, the Secretary will issue an official notification to the member.

Forfeiture Deadline: If payment is not received in full by March 31, the membership is automatically forfeited and cancelled.

Reinstatement: Forfeited members lose all I.H.A. privileges but can reinstate their membership upon paying the current year's dues plus a $15 reinstatement fee.
4. Formal Corporate Cancellation of Membership
In accordance with Article III, Section 3 of the corporate By-Laws, a membership may be officially revoked or cancelled by the alliance for failure to comply with the By-Laws, Standing Rules, or corporate regulations:

Approval Process: Formal cancellation requires a majority vote of the Board of Directors and a 75% vote of the voting membership at a duly called meeting where a quorum is present.

Notice Requirement: The meeting of the Board of Directors and the subsequent general membership meeting must take place at least two weeks apart.

Grievance Expulsion: Under Article XII, Section 4(B), any member found guilty of a Code of Ethics violation by the Grievance Committee who fails to pay an ordered fine within thirty (30) business days will be automatically expelled from membership.

No Refunds Upon Disciplinary Expulsion: Members whose status is terminated or suspended through official disciplinary action or By-Law enforcement are strictly ineligible for a refund of any paid dues, assessments, or fees.
